Lookup Store Tutorial

What is the purpose of Lookup Store?

Lookup Store allows to store up to 8 lookups per database per user. The lookups are saved permanently (you don't lose them if you close the program or you close ACT! — except in the unregistred version).

Lookup Store toolbarThe only way to save a lookup in ACT! is to create a group which you don't necessarily want to do and is not a very simple process. Let's say you are working on a carefully crafted lookup. The phone rings and you need to quickly go to a contact record. What do you do? Do you run the risk of losing your lookup and the contact you are at? With Lookup Store, you may save your lookup with one click of a button.

Lookup Store allows to save 8 lookups per database per user which you can display just by clicking a button. In the image at right, we show a lookup called John Doe which allow us to quickly go to the John Doe contact, another called Next Mailing, etc.

If you hover over the button a tooltip will appear showing the description of the lookup, the number of contact and the contact who was active when the lookup was saved.

How do I save the current lookup to one of the buttons?

When a button is yet to be associated with a lookup, a save icon is shown on its face. If you wish to save a lookup to an unused button, click one of these buttons and the following window will appear.

It is recommended to enter a caption. Otherwise the button's caption will be its position number (1,2, etc.). The description is optional.

If you wish to replace the lookup currently associated with one of the buttons, do a right-click on the button and choose Replace with current lookup.

After re-starting Lookup Store, all the buttons have the Save icon and my lookups seem to be all gone. What happened?

The unregistered version does not save lookups once the program is closed. You will need to buy a license for this feature to be fonctional.

Can I add/remove a contact to a lookup already stored in Lookup Store?

If you wish to add/remove the current contact of your ACT! database, simply click the + or - buttons to the right of the button where your lookup is stored.

How about adding more than 1 contact at a time?

Create a lookup of the contacts you want to add. Click the button where your lookup is stored and choose "Add to lookup". The new lookup is now made of your old lookup plus the new contacts you wanted added. You now need to save this lookup under the same button as before. Simply right-click on the button where your lookup is stored and select Replace with current lookup. You're done!

How about removing more than 1 contact at a time?

Open ACT! Contact list view. Make sure you are in tag mode. Click the button with the lookup you want to edit so that it is displayed in ACT!. Either check the contact you want to remove or those you want to keep (depending on what is faster). Then click the Lookup Tagged or Omit tagged button. Then save the lookup under the same button as before by right-clicking it and choosing Replace with current lookup.

What are the two buttons at the bottom of the floating toolbar?

The one with the arrow is the Previous lookup button. Just click it to return to the previous lookup. The one at right is the Minimize to system tray button.

Can I have Lookup Store automatically go to the system tray at startup?

Yes, through the Settings window (under the Options menu):

The second option when not checked makes the system tray popup menu appear when hovering the icon. If checked, you need to click the icon to make the menu appear.

I need to save a lookup and Lookup Store is minimized to the system tray. Do I need to restore it to save the lookup?

No. Simply select an empty position ("Store Here") and the properties window will be displayed, the same way as if you clicked on a "Store here" button.

I want to replace one of the lookup associated with a button. How do I proceed?

Do a right-click on the button you want to associate the lookup too. A popup menu will appear, select Replace with Current Lookup.

This operation can't be performed when the program is in the system tray. So you will need to first Restore the program (see the bold menu command in the image above) and then do a right-click on a button.

Can I add a button to the ACT! toolbar (or a menu item) to launch Lookup Store?

Sure. In fact, this is recommended. As with all our add-ons, look for the Integrate with ACT! command under the Options menu.
