ACT2Excel — $69 ACT2Excel automates the process of starting up Excel, opening a file and moving current contact information from ACT! into the spreadsheet. Use it for:
ACT2Excel can be set up to do the following steps.1. Open an Excel spreadsheet to be used as a template 2. Copy data from specific fields in the Current ACT! Contact to specific cells within the spreadsheet 3. Copy data from specific fields in the Current ACT! Group to specific cells within the spreadsheet 4. Copy data from specific cells in the spreadsheet back to specific fields in the Current ACT! Contact 5. Save the resulting file, giving it a meaningful name that includes contact data (like the contact's name and company) in the file name 6. Attach the resulting file back to the Notes/History of the contact as an attachment All new in V3
DirectionsThis is a little involved, please follow these directions carefully. Create a custom command in ACT! (see video)
The first time you run ACT2Excel, it will prompt for a .XLS file to use as a template.
After Excel starts, ACT2Excel reads the spreadsheet's "Named Cells". For each name with the syntax CF_##, it takes the ACT! Contact Field with that id number and stores it in the cell with that name. To set the "named cell", just click in the box circled in red below and type CF_26 (for example). For example, CF_25 is Company, CF_26 is Contact, CF_200 is Email and so on. The kit includes a "Database Fields.txt" file with all the standard IDs. You can run ActDiag.exe (this comes with ACT!) to get all the custom field names in your database. You can use the Excel Insert -> Name -> Define dialog to view these
cell names. The optional "Save As" template parameter specifies a filename... (don't confuse our use of the word "template" here with the "template" .XLS file)
will save as "Invoice - Northwoods Software - Jake VanNoy.xls" and use the same path as the input file. You can also specify an alternate path in the Save As Template. If you check the "Attach file to contact", ACT2Excel will create a Note/History attachment record for the new Excel file. ACT2Excel will only prompt once, and will always use the same template. If you have multiple templates, set up additional Custom Command in ACT!, and use a number after the command, e.g.
And ACT2Excel will prompt you for a second Excel file. These files are "remembered" in C:\Windows\Saleswin.ini if you need to make any changes.
