Features
ACTive Agent is an all inclusive software product that enhances your
productivity for total Customer and Real Estate Listing Management when
used with Symantec/SalesLogix award winning ACT! contact management software.

ACTive Agent consists of a customized real estate
ACT! database as well as customized real estate ACT! data entry screens
that track an extensive amount of vital information on your clients
and listings, including the "Location Info",

and "Closings".
- ADD ESSENTIAL RELATIONSHIP MANAGEMENT FUNCTIONS
ACTive Agent includes (3) additional modules: the "Letter
Manager", the "Expense Manager"
and the "Campaign Manager", adding
the functionality to conveniently schedule, track and manipulate multiple
customers, listings, as well as tasks through your customizable and
openly definable "campaigns". ACTive Agent campaigns can contain
tasks "to do", "meetings to schedule" and "calls
to make", as well as form letters and brochure correspondence management.
An unlimited number of YOUR Activities can be scheduled automatically
to an unlimited number of customers with one simple mouse click.
ACTive Agent further tracks marketing listings and expenses, and is
fully integrated with Microsoft Word and Microsoft Publisher for creating
letters and brochure correspondence. ACTive Agent ships complete
with 14 pre-defined informative reports, as
well as 8 marketing brochure templates. ACTive
Agent is further capable of downloading MLS data, attaching unlimited
graphics or photos to your contact records, and is Palm Pilot compatible.

The ACTive Agent data entry screens are extremely comprehensive, yet
simple to use and navigate. ACTive Agent tracks all necessary information
on your contacts & listings including "Customer Info", "Location
Info", "Property Info", "Sales Info", "Listing
Features" & "Closings". ALL FIELDS are openly definable
& customizable. Several "drop downs" exist for consistent
and expedient data entry. Use, or rearrange our fields, or create YOUR
OWN!

Letter Manager 
With the ACTive Agent Letter Manager you have the ability to custom create
and schedule letters to one contact, a group of contacts, or pick and
choose selective contacts. Letters can be scheduled today for dates in
the future. Create saved "campaigns" of letters & launch
the campaign to whomever you wish. Designate or assign to whom on your
team prints the letters each day. You can print all letters at once, or
selected letters at any given time. Attach labels or envelopes to the
letters automating the printing process in one simple step. Compatible
with Microsoft Word. Color coding and alarm feature for prioritizing.
The Letter Manager adds the functionality of printing Microsoft Word
documents & Microsoft Publisher publications with ACT! data. ACTive
Agent automatically pulls the required data from the ACT! Database for
use in these form letter/mass mailing documents.
The Letter Manager includes the ability to "View All Letters"
currently scheduled, or view letters scheduled for a "Particular
Date".
Editing and deleting letters is as easy as just a few simple keystrokes.
There are several ways to delete letters including; deleting ONE letter,
deleting ALL letters or ONE CONTACT, and deleting ALL SCHEDULED letters.
The Letter Manager gives you the ability to review and change your letter
"status" before printing them. By default, all letters are set
to a status of "Yes". Setting the status to "No" allows
ACTive Agent to bypass records and not print the letter.
ACTive Agent prints merge documents or publications from the Letter Manager
by starting Microsoft Word or Microsoft Publisher in the background of
your computer, and automatically executes the merge features to produce
the form letters. Upon successful printing of the letter or publication,
a History Note will be sent to the ACT! Database to record the printing
event.
There are two methods available for adding letters to the Letter Manager.
The first method is to add letters to a campaign, in the ACTive Agent
Campaign Manager (see Campaign Manager section of our Website). The second
method is to use the "Apply" feature within the Letter Manager
itself, which displays the "Schedule Letter" screen.

Campaign Manager 
With the "ACTive Agent Campaign Manager" you have the ability
to custom create YOUR campaigns of activities
such as Calls, Meetings, To-Do's, Letters & Brochures,
all from this valuable software tool. You can assign EACH activity for
different members of your team.
Create FSBO, Expired Listing, 10 Day Before Close,
Holiday, Past Client, 10 Day After List campaigns and more. Recurring
activities feature allows you to select how often, and on what days of
the week you'd like the activity to recur. Campaigns are stored in your
very own "Campaign Library" & may be reused over and over
to one specific, selective, or to all your clients.

The Campaign Screen gives you a
snapshot of all the activities for the selected campaign.

Before launching a campaign to
the ACT! database, all activities in that campaign must first be
created, then becoming part of your very own "Campaign Library".

When creating activities for a
new campaign, the "Recurring Settings" feature can save
valuable time by combining recurring tasks in every possible combination.

The Campaign Launch Date represents
the date in which all activities within a campaign are scheduled
FROM. The "+/- Day" out field for each activity sets the
activity date based on the Campaign Launch Date.

Once a campaign is chosen and all activities have been setup, it can
be launched to the ACT! database by selecting the names of contacts the
activities will be applied. Each Activity is then recorded for each selected
contact.
Call, Meeting, & To Do activities are applied & launched directly
into the ACT! database. Letters, however, are scheduled and applied into
the ACTive Agent Letter Manager.
Expense Manager 
With the ACTive Agent Expense Manager, you have the ability to track
expenses on your listings, prospects, or any contact with this dynamic
software tool. The Expense Manager creates expense reports and logs the
activity into the ACT! contact record. One mouse click does it all. Dazzle
your sellers with impressive reports, they will never ask you to "cut"
your commission again!
The Expense Manager module in ACTive Agent records Real Estate advertisement
and other expenses associated with a contact and property listing. Expenses
are stored in Categories with an associated Cost and Price. The Actual
Cost for a category represents the actual true cost of the expense. The
cost represents the market value of that expense.

Selecting "Apply" will
the allow you to associate the expense with a contact name. The
expense is then stored with the contact name(s) that you applied
them to, along with a History Note sent to the ACT! Database with
the expense information.

The Preview screen displays all
expenses for the contact shown in contact name. The dropdown box
allows selection of another name to display expenses for that contact.

evaluate the past 8 weeks of advertising activity as well as the
next scheduled 2 weeks. This report allows you to examine all listings
at a glance to make ad decisions, instead of looking up listings
one by one to see when, where, and how they have been advertised.

View or print a detail of all costs
or expenses associated with ne, or all listings. This report differs
from the "Client Report" (see below) in that it shows
YOUR actual cost, as well as the CLIENT's cost for expenses incurred
for the listing.

View or print a detail of all "client"
costs or expenses associated with one, or all listings that can
be distributed directly to your customer. Your customers will never
ask you to cut your commission again!
